1. Who this policy covers
We supply mobile, phone system, AI Voice, SMS and related services to businesses through our channel partners (IT providers, managed service providers and telco resellers), and in some cases directly. This policy covers personal information about:
- people who work for our partners and use our partner portal (CommsPortal);
- our partners’ business customers and their staff who use our services;
- people who send us a bill to compare, or whose bill is uploaded to our comparison tools;
- businesses and people we contact about becoming a partner, and people who contact us;
- visitors to our websites.
When we act for someone else. For our AI Voice, SMS and customer relationship (CRM) services, we process personal information on behalf of the business that uses them (our customer). If a business called you or messaged you using our platform, that business decides how your information is used and is your first point of contact. Our customers receive a collection notice and a data processing agreement from us that explain this.
2. What we collect
Depending on how you deal with us:
- Contact and business details: name, job title, business name, ABN, email, phone, address.
- Partner account details: portal logins (we store passwords in protected form, never in plain text), activity in the portal, and bank account details for paying commissions and referral rewards.
- Service details: mobile and phone numbers, SIM and eSIM details, plans, service addresses, and the name or label given to each service.
- Number porting details: the account number with your current provider, and a date of birth or a one-time code where the law requires us to check that the person moving a number is authorised to do so.
- Usage and billing records: call, SMS and data records (such as the time, duration and numbers involved), usage totals and charges.
- Bills you upload for comparison: everything on the bill, which may include names, mobile numbers, plans, costs and usage.
- Calls, recordings and messages handled by our AI Voice, phone system and SMS services (mostly on behalf of our customers; see section 1).
- Prospect and marketing details: business contact details and public professional profiles (for example on LinkedIn) of people at businesses that might become partners, and where we got them.
- Website information: pages visited, device and browser details, IP address and cookies (see section 7).
We don’t ask for sensitive information (such as health information) about you for our own purposes. If a customer’s AI Voice agent or phone system handles a call in which you share it, we hold it only on that customer’s behalf and under our agreement with them.
You can deal with us without giving your name where that’s practical (for example, a general enquiry), but we can’t supply a service, port a number or pay you without identifying you.
3. How we collect it
Mostly from you or your business: through our websites, forms and booking calendars, the partner portal, emails, calls and meetings. We also collect it:
- from our partners, when they set up customers and services in the portal or upload a customer’s bill;
- from our network and wholesale suppliers, when services are activated, ported and used;
- from public sources and business data providers (such as professional networking sites and contact databases), for business-to-business marketing;
- automatically, through cookies and similar tools on our websites.
If we receive information we didn’t ask for and couldn’t have collected ourselves, we delete or de-identify it where the law allows.
4. Why we use it
- To supply, activate, port, support and bill our services, and to run the partner portal.
- To check identity and authority before moving a number (as ACMA rules require) and to prevent fraud.
- To compare bills and prepare quotes.
- To manage our partners: onboarding, training, commissions and referral rewards.
- To contact businesses about partnering with us and to tell partners and customers about our services (see section 6).
- To improve our services, websites and support.
- To meet our legal obligations, including telecommunications laws, tax and record-keeping.
We use AI tools to help with some of these, for example to read uploaded bills and to transcribe calls.
5. Who we share it with
- Our partners: the partner who looks after your business sees the information needed to quote, order, support and bill your services.
- Our network and wholesale suppliers, including Telstra Wholesale and our provisioning and billing systems, to supply and bill services.
- Service providers who work for us: hosting, AI processing, messaging, email, support, CRM and analytics. A list of the main providers is available on request.

If we got your details from someone else, you can ask us where we got them, and we’ll tell you unless that’s impracticable or unreasonable.

We keep information only as long as we need it for the purposes above or as the law requires (for example, tax and telecommunications record-keeping), then delete or de-identify it.
If we have a data breach that is likely to cause serious harm, we will notify you and the Office of the Australian Information Commissioner as the law requires.
9. Accessing and correcting your information
You can ask for the personal information we hold about you, and ask us to correct it. Contact us (section 10). We will respond within 30 days and won’t charge you for asking.
